The Total Letting Service can provide a wide range of services and, as an independent landlords specialist Letting Agent, we can also provide a “bespoke” service.
The services we provide range from Introduction only through to a Full Management service which includes property management.
The Total Letting Service can provide:
FIND TENANT ONLY SERVICE
FEE: 95% of 1 Months Rent including VAT
This covers advertising, viewings, all related administration required including the Tenancy Agreement. To be paid on sourcing suitable tenants who wish to take the tenancy if Tenancy does not start.
Reference Fee A Basic Credit check = £18 including VAT
Comprehensive reference check to include employment / landlord etc = £43.20 including VAT
The Find Tenant Only Service includes the advertising, this will include newspapers and website advertising, The Total Letting Service will, if required, accompany viewings. Once a potential Tenant has been found The Total Letting Service will issue application forms in order to obtain references by a specialist tenant reference agency.
The Tenancy Agreement will be drawn up in line with the regulations governing the holding of Tenant’s deposits, sent to the landlord for signature. A move in pack will be provided detailing contact details of the landlord etc. On the day of the Tenancy the potential Tenant will attend the office and complete all the necessary paperwork which includes signing the tenancy.
The Inventory and Schedule of Condition is NOT included in the fee however we strongly recommend this important document is drawn up and the Landlord meets his new tenant on the day of move to complete the agreement of the inventory and schedule of condition together. The Landlord is responsible for notifying all utility companies, local councils etc of the change of occupier.
The The Total Letting Service can provide an Inventory and Schedule of Condition for an additional fee. The Fee for drawing up an Inventory and Schedule of Condition is 12% of the calendar monthly rent.
We can also provide a Check in Service, if required for an additional fee.
Please note The Total Letting Service will arrange for the Tenants to have the information required to allow them to set up payment to the tenant’s bank, however we cannot be held responsible for any failure in payment of rent. Landlords who wish to manage their own properties please be aware, once we have completed our find tenant service we are unable to provide further advice.
PART MANAGED SERVICE
FEE: 10% per calendar month plus VAT (12% including VAT):
Plus Administration Fee@ £300 including VAT for finding a tenant service,
Plus Check in of Tenant / Check Out of Property Fee @ £108.00 including VAT per check
Inventory and Schedule of Condition, is 12% of the agreed monthly rent
Reference Fee A Basic Credit check = £18 including VAT
Comprehensive reference check to include employment / landlord etc = £43.20 including VAT
This Monthly Fee includes: –
- Inventory and Schedule of Condition, the fee is 12% of the monthly rental figure
- Arranging of Landlord Gas Safety Record, if required
- Changeover of Utilities at the beginning and end of the tenancy
- Routine Property visits
- Hold the Tenants Deposit in line with the Tenancy (insurance backed scheme)
- NO MAINTENANCE INCLUDED – The tenant will call the office and we will report to the Landlord, who will organise the contractors directly. The Total Letting Service do reserve the right to organise contractors if the landlord is not contactable, if an emergency. Also if the repair is a landlord obligation and the landlord has not responded to the maintenance within 7 working days. If The Total Letting Service need to organise any maintenance an administration fee will be charged to cover the administration.
This service appeals to landlords who have their own maintenance contracts and wish to control all repairs which may be required on the property. However all the day to day management of the Tenancy will be over seen by The Total Letting Service. This service includes all routine Visits and Inspections, Check in and Check out of Tenants, notify the utility companies of changes in occupancy.
Should The Total Letting Service become more involved in arranging maintenance on the Landlords behalf a fee of £36 including vat will be charged and if The Total Letting Service project manage a refurbishment of a property, a fee will become payable of 15% of the total cost of the refurbishment work, a minimum of £240 including VAT.
Please Note – We would recommend if the property has a mortgage then at least two month’s mortgage is kept as a float, as The Total Letting Service cannot be held responsible for any default on mortgage payments.
THE FULLY MANAGED SERVICE
FEE: 12% per calendar month plus VAT (14.4% including VAT)
Plus set up fee @ £300 including VAT
Plus Check in of Tenant / Check Out of Property Fee @ £108.00 including VAT per check
Inventory and Schedule of Condition, is 12% of the agreed monthly rent
Register Deposit @ £36 including VAT
Reference Fee A Basic Credit check = £18 including VAT
Comprehensive reference check to include employment / landlord etc = £43.20 including VAT
This Monthly Fee includes: –
- Tenancy agreement
- Arranging of Landlord Gas Safety Record, if required
- Changeover of Utilities
- Routine Visits to the property
- Rent Processing
- Organising maintenance, (instructing contractors, repairs etc)
- Hold The deposit in line with the new Tenancy Deposit Regulations
In addition to all of the above we will arrange maintenance to an agreed limit, usually £200. We will obtain quotes where necessary and submit these to the Landlord for approval. Once jobs are completed and invoiced we will pay contractors from the money held on the Client’s account and a detailed statement including the invoice will be forwarded to the Landlord.
Should The Total Letting Service become more involved in project managing a refurbishment of a property, a fee will become payable of 15% of the total cost of the refurbishment work, a minimum of £240 including VAT.
Please Note – We would recommend if the property has a mortgage then at least two month’s mortgage is kept as a float, as The Total Letting Service cannot be held responsible for any default on mortgage payments.
Also a maintenance fund should also be kept, again we would suggest depending on the age of the property a minimum of £500. We do not hold float for any maintenance.

The Tenancy Deposit Scheme
We are members of the Tenancy Deposit Scheme which is a government approved tenancy deposit protection scheme in England and Wales operated by The Dispute Service Ltd.
The Housing Act 2004 requires landlords and letting agents to protect deposits on assured shorthold tenancies in a recognised scheme. The Dispute Service Ltd. provide insurance backed tenancy deposit protection with free, impartial dispute resolution for when disagreements arise over how the money is divided.
TDS is the only not for profit scheme, and they use their surpluses to continue improving their already multi-award winning service. Their awards and certifications include;
